Custom conference name badges and trade show credentials, printed in full color with optional QR codes, barcodes, and RFID. Free artwork in 24 hours, bulk pricing, and turnaround fast enough for last-minute event changes.
The short version: If you’re running a trade show, conference, or corporate event, professionally printed conference name badges speed up registration, look sharp on the floor, and double as access control when paired with QR codes or RFID. We print custom event badges in any size, on PVC or premium card stock, with optional smart-chip integration, and ship in bulk with a MOQ of 10 for fully custom designs. Free design help included.
Why printed conference name badges still matter
Mobile check-in apps come and go, but a physical badge is still the fastest way to move 500, 5,000, or 50,000 attendees through registration without bottlenecks. It signals who belongs in the room, makes networking effortless, and gives sponsors something tangible to put their logo on.
For event organizers, trade show planners, and conference coordinators, the badge is also the single most-photographed piece of swag at your event. A blurry inkjet print on cheap paper makes the whole show look amateur. A clean, full-color, properly sized badge says you knew what you were doing six months out.
That’s where we come in. Custom Creds prints event credentials and badges for trade shows of every size, from regional B2B conferences to multi-day expos with tens of thousands of attendees. We handle the design, the print, the holders, and the lanyards as a single coordinated order so nothing arrives mismatched.
Anatomy of a great trade show badge
A badge has about three seconds to do its job from across a crowded aisle. Get the layout right and your attendees stop squinting, stop colliding at booths, and start actually networking.
Size and orientation
The most common formats for conference name badges in the U.S. are 3″ x 4″ portrait, 4″ x 3″ landscape, and the larger 4″ x 6″ credential format used for staff, press, and VIPs. Larger badges read better at distance but cost more per unit and feel bulky around the neck on day three. We recommend 4″ x 3″ landscape for most general attendee runs.
Information hierarchy
The first name should be the largest element on the badge, period. Last name and company go below in a smaller weight. Role, ticket tier, or session track sit at the bottom or in a colored band along the edge. Logos go top or bottom corner β never centered behind text.
Material and finish
For multi-day events, PVC plastic credentials hold up better than card stock and don’t curl in humid convention halls. For single-day conferences, a 14pt or 16pt coated card stock looks great and costs significantly less. We can also do double-sided print so the badge is readable when it flips around on the lanyard β which it always does.
Customization options for event badges
Three production paths cover almost every event we work with. Pick based on whether your attendee data is finalized, partially known, or completely fluid until the day of the event.
| Option | How it works | Best for |
|---|---|---|
| Full-color custom print | Each badge printed with attendee name, company, photo, QR code, and any variable data. Full bleed artwork. | Pre-registered attendees, known list 7+ days before event |
| Preprinted with fill-in field | Branding, colors, sponsors, and event info preprinted. Name and company written or inkjetted on site. | Walk-up registration, mixed pre-reg and day-of attendees |
| Blank-fill / on-demand | Blank PVC or card badges shipped with template files. You print attendee data on site using a thermal or color printer. | Last-minute changes, large events with rolling registration |
All three paths can be combined in a single order β for example, fully custom VIP and speaker badges plus preprinted general attendee stock. Our design team handles file prep at no extra cost so you don’t need an in-house designer to pull this off.
Need badges in two weeks or less? Send us your attendee list and brand assets β we’ll send back a proof within 24 hours.
RFID, QR codes, and barcode integration
Smart credentials are the single biggest upgrade you can make to a trade show registration flow. Instead of staff typing names at the door, attendees scan in. Instead of paper lead-capture forms, exhibitors tap a phone to a badge and the contact is in their CRM.
QR codes and barcodes
QR and Code 128 barcodes are the cheapest smart-badge option and work with any scanner app. We embed unique per-attendee codes from your registration export β Cvent, Eventbrite, Bizzabo, custom CSV, doesn’t matter. Codes can link to a session schedule, a vCard, lead retrieval, or your check-in API.
RFID and NFC
For larger trade shows and conferences with access-controlled zones β sponsor lounges, paid workshops, VIP rooms β RFID and NFC credentials are worth the upgrade. We embed passive HF or UHF chips directly into the badge during production. Attendees just tap or wave. No line, no scanning.
RFID also powers session tracking, exhibitor lead retrieval, and post-event analytics that are genuinely useful for sponsors who are evaluating ROI on their booth spend. If you want to charge more for sponsor packages next year, RFID lead data is how you justify it.
Lanyards, holders, and accessories
A badge without a holder is just a piece of paper. We pair every credential order with matched lanyards and holders so the kit arrives ready to deploy at registration. Options include:
- Polyester lanyards with custom-printed branding (1 color to full color)
- Breakaway safety lanyards for school and corporate events
- Vinyl badge holders, rigid plastic holders, and retractable reels
- Color-coded lanyards by attendee tier (attendee, speaker, sponsor, staff, press)
- Double-sided clear holders for badges that need to be read from both sides
For deeper specs on lanyard options, see our custom lanyards for events page, or read the event credentials guide for badge holder selection.
Bulk pricing tiers
Conference name badges scale well. The more you order, the lower the per-unit cost β and most planners are buying in quantities of several hundred to several thousand anyway. Indicative pricing for a standard 4″ x 3″ full-color PVC badge:
| Quantity | Approx. price per badge | Notes |
|---|---|---|
| 10 β 49 | $6.50 β $8.50 | MOQ 10 for fully custom artwork |
| 50 β 249 | $3.75 β $5.50 | Most common small-conference range |
| 250 β 999 | $2.25 β $3.50 | Sweet spot for mid-size B2B events |
| 1,000 β 4,999 | $1.40 β $2.20 | Large conferences and regional trade shows |
| 5,000+ | Contact for quote | Major expos, multi-day national events |
RFID and NFC integration adds roughly $0.80 to $2.50 per badge depending on chip type and volume. Lanyards, holders, and rush production are priced separately. Request a custom quote for a line-item breakdown matched to your event.
Production timeline for events
Most planners reach out somewhere between four weeks and three months before the event. Here’s what a realistic timeline looks like for a fully custom run:
| Phase | Time required | What happens |
|---|---|---|
| Design and proofing | 24 β 72 hours | Free artwork from our team or proof your existing files |
| Approval and data prep | 1 β 3 days | You send the final attendee list (CSV/XLSX) |
| Variable data print + production | 5 β 10 business days | Includes RFID encoding if applicable |
| QC, kitting, and ship | 1 β 2 days | Badges paired with lanyards and holders |
| Transit | 1 β 5 days | Ground or expedited, depending on event date |
Rush production is available β we’ve turned around 2,000-badge orders in under a week when registration data was finalized late. The earlier you loop us in, the more options you have.
Who orders trade show badges from us
Our typical buyers fall into a few clear categories:
- Event organizers and producers running annual trade shows, B2B expos, and industry conferences
- Conference coordinators inside associations, professional societies, and certification bodies
- Corporate event teams running sales kickoffs, internal summits, and partner conferences
- Universities and education conferences handling academic symposiums and recruiting events
- Convention services and AV/production companies sourcing badges on behalf of end clients
- Nonprofits and trade associations running member events and annual galas
If you’ve never ordered event credentials before, the friction points are usually the same: getting registration data into the right format, choosing material, and pairing the right lanyard. We walk new clients through all three on a single call.
