Lead time and re-order cadence

First-time custom orders typically ship 3–4 weeks after artwork approval. Re-orders against an existing spec usually ship in 2–3 weeks because the screens, dies, and reel labels are already on file. Most hospital systems we work with re-order every 4–6 months as new hires roll on; some maintain a standing PO with quarterly auto-ship.

For onboarding-heavy systems (residency match in June, nursing-school graduation in May, ancillary hiring waves in August), we recommend lead-time planning at least 8 weeks before the wave starts. Rush is possible on most lines for an upcharge of 15–20%, but reel-based holders with custom dome labels have a hard floor of 12 production days regardless of rush fees.

Are your badge holders HIPAA-compliant?

HIPAA doesn’t specify a badge-holder product spec, but the design choices that support a HIPAA-compliant identification program — clear photo window, role-based color coding, no exposed PHI on the holder itself — are baked into our healthcare lineup. We never print PHI or patient information on a holder.

Can we color-code holders by unit or department?

Yes. We can run 4–6 color variants in a single PO with the same imprint, which is how most hospital systems implement department-based ID. The color is applied to the vinyl border or the lanyard, not the photo window itself.

Do the lanyards have safety breakaways?

By default, every clinical-staff lanyard we ship includes a quick-release breakaway closure to prevent neck injury during patient interactions. Non-clinical roles can opt out, but we recommend keeping the breakaway as the default.

Will the holders survive ethanol-based hand sanitizer?

Our heavier-gauge vinyl handles sanitizer exposure significantly better than standard event-grade vinyl. For ICU, ED, and OR environments — where exposure is constant — we recommend our reinforced or rigid polycarbonate styles, which are essentially impervious to alcohol-based products.

Can you embed RFID or proximity-card slots?

Yes — most of our healthcare holders ship with a dual-slot configuration so the primary photo ID sits in front and a HID iCLASS or MIFARE proximity card sits in the back slot. Single-slot holders are also available for hospitals using a single combined credential.

How does the reorder workflow work?

After the first PO, we keep your spec, art files, and PMS colors on file. Re-orders typically need only a PO number, quantity, and ship-to. Most of our hospital clients re-order via email to a dedicated account contact.

Do you offer bilingual or accessible holder options?
